Cloud 9 Privacy Policy

This Privacy Policy describes how EVO Systems LLC (“EVO“, “we”, “us”) collects, uses, and discloses information in connection with the Cloud 9 mobile application (the “App“), and what choices you have. If you have any questions, contact us using the details in the Contact Us section.

Applicability of This Policy

Cloud 9 is an AI-powered business assistant for authorized EVO employees. Access requires an EVO company account; the App is not available to the general public. This policy applies to the App only. EVO’s handling of business and employee records outside the App is governed by EVO’s internal policies.

Information We Collect

  • Account information, such as your name, work email address, and role, received when you sign in with your EVO company account.
  • Messages and voice input, including the questions and instructions you enter by typing or by voice, and the App’s responses. Voice input requires microphone permission and is used only to convert your speech to text.
  • Business information from EVO’s existing company systems that you are authorized to access, such as customer, sales, order, and product information, and records you choose to create or update through the App.
  • Usage and diagnostic information, such as app activity, device type, operating system version, and error or crash reports.

The App does not collect your device’s location, and does not access your contacts, camera, or health data.

How We Use Information

We use information only to provide and operate the App, including to sign you in, respond to your requests, maintain your conversation history, generate reports you request, keep the App secure, fix problems, improve how it works, and meet legal obligations. We do not use information from the App for advertising, and we do not track you across other companies’ apps or websites.

How We Share Information

We share information only as needed to operate the App:

  • Service providers. We use trusted third-party service providers to host, develop, support, and operate the App, including cloud hosting, speech-to-text, and EVO’s business systems.
  • Third-party AI provider. The App’s assistant features are powered by a third-party AI provider. Your messages, and the business information needed to respond to them, are sent to this provider to generate responses. The provider processes this information on our behalf and is not permitted to use it to train its models.
  • Legal requirements. We may disclose information if required by law or legal process, or to protect the rights, property, or safety of EVO, its employees, or others.
  • Business changes. Information may be transferred as part of a merger, acquisition, or sale of assets, subject to confidentiality protections.

Any third party that receives user data from the App, and any parent, subsidiary, or related company of EVO with access to it, is required to protect that data to the same or an equal standard as described in this policy. We do not sell user data or share it with advertisers or data brokers.

Data Retention

We keep information only as long as needed to provide the App, or as required by EVO’s data retention policies and applicable law. Conversation history is kept until you delete it or as set by EVO’s retention policies. Audio from voice input is not stored. Business records remain in EVO’s company systems under EVO’s normal record-keeping policies.

Your Choices and Rights

You can stop using the App, log out, or delete conversations from your history at any time. You can turn microphone access on or off in your device settings.

To request access to, correction of, or deletion of your personal data, or to withdraw your consent to our processing, email bpaige@evosystemsllc.com. We will respond within 30 days. Business records EVO is required to keep are not deleted through this process.

Security

We use reasonable technical and organizational measures, including access controls and encryption, to protect information from loss, misuse, and unauthorized access. No method of transmission or storage is completely secure.

Age Limitations

The App is for EVO employees only and is not intended for anyone under 18. We do not knowingly collect information from children.

Changes to This Policy

We may update this policy from time to time. We will post the updated version on this page and change the effective date above. If we make material changes, we will notify App users.
